Viedoc alternatives for studies built around the participant, not the eCRF
Viedoc is a well designed EDC with ePRO, televisits and trial supply in one modular suite, priced per study with unlimited users. If site based data capture is the heart of your study, it's a strong pick. If you need participants to stay engaged for months through a branded mobile app, push reminders and wearable data, that's what WeGuide was built for. It can sit alongside Viedoc or take over the participant facing side entirely.
No pressure, no hard sell. A 30 minute walkthrough with a research colleague who's built platforms like yours.

Why research teams look for a Viedoc alternative
%2520(1).png)
The short version
Viedoc was founded in 2003 by people from the CRO world who wanted clinical data management software that felt modern to use. Over two decades it has grown from a Swedish EDC into a modular eClinical suite used across many countries, and its interface is still one of the reasons teams choose it.
Why teams look elsewhere
The questions usually start on the participant side. Viedoc Me, the platform's ePRO tool, is a web based application: participants open it in the browser on their own device, and there is no Viedoc app in the Apple App Store. Reminders go out by email or SMS. Wearables can be connected through Viedoc's open API rather than built in integrations. That architecture keeps things simple and device independent, and it fits studies where participants report occasionally around site visits.
It fits less well when the participant is the study. Long daily diaries, passive data from a watch, education content, two way messaging, gamified adherence and multi year registries all depend on a participant experience that people want to come back to. WeGuide was built for that job: native whitelabel iOS and Android apps under your brand, eConsent, eCOA with a library of validated instruments, native wearable data and an engagement layer, with data flowing to your EDC through the Integration Engine.
If your study is EDC first, with randomisation, supply, coding and televisits all needed from one vendor, Viedoc is probably the better fit and we'll tell you that. If your bottleneck is keeping participants active between visits, read on.
Budget shape is part of the decision too. Viedoc's per study, per module licensing with unlimited users rewards EDC heavy studies with large site teams. WeGuide's project based pricing includes hosting, support and modules, which suits studies where the spend should go into the participant experience rather than seats for site staff.
Key differences between WeGuide and Viedoc

Where Viedoc excels
A usable, low code EDC. Viedoc's designer lets teams build eCRFs, edit checks and workflows with drag and drop tools, and self service studies can go live in as little as a day. Its interface is consistently one of the reasons research teams shortlist it.
Predictable, study based pricing. Viedoc licenses per study by module, with unlimited users, and the fee covers hosting, maintenance, backups and support. Volume, nonprofit and academic discounts are available. For CROs running many studies with large site teams, no per seat fees is a real advantage.
A broad suite from one vendor. EDC, ePRO, televisits, randomisation, trial supply, medical coding, eTMF and document sharing all sit in one platform. Viedoc Coder adds AI suggested medication codes through WHODrug Koda. WeGuide doesn't try to cover randomisation, supply or coding.
Global reach and languages. Viedoc reports more than 8,000 studies across 75+ countries and support for 40+ languages, with established customer bases in Sweden, China and Japan. It even offers a post market surveillance product built for Japanese requirements.
Compliance and inspection history. 21 CFR Part 11, ICH GCP, GDPR, ISO 27001, HIPAA and SOC 2, and Viedoc reports passing every FDA inspection of studies run on its EDC.
If your study is site led, EDC centric and needs randomisation, supply and coding from the same vendor, Viedoc is a defensible choice. We'd rather say that honestly than oversell what WeGuide does.
Run WeGuide alongside Viedoc
You don't have to replace Viedoc to improve the participant experience. Teams can keep Viedoc as the system of record for site entered eCRF data, randomisation, supply and coding, and use WeGuide for everything the participant touches: eScreening, eConsent, eCOA, wearable data, reminders and messages, all in one branded app. Viedoc publishes open APIs and CDISC formats, and our Integration Engine supports REST API, webhooks and HL7 / FHIR, so the two can exchange data. There's no prebuilt Viedoc connector today, so we scope the integration with you during discovery.
If participants in your study only complete an occasional questionnaire at site visits, Viedoc Me already covers that and adding WeGuide won't earn its keep. We'll tell you that on the call.
How the switch works
For teams that are ready to move participant facing work off Viedoc, or run WeGuide alongside it, here's how onboarding typically plays out.
Discovery Call
A 30 minute conversation with one of our research delivery team. We look at your protocol, your current Viedoc setup and what's actually blocking you. No sales pitch.
Study Configuration
Our team works alongside yours to configure the study in WeGuide: consent flows, eCOA schedules, wearable connections and engagement. If you're keeping Viedoc for EDC, we scope and configure the integration at this stage. Typical timeline: two to four weeks.
Participant Onboarding
The whitelabel app goes live. Your coordinators invite participants, who download the app under your organisation's brand. Consent flows, reminders and support content are ready from day one.
Ongoing Support
You get a named research delivery contact, not a ticketing queue. We stay involved for the life of the study.

Case studies: research teams that needed more than an EDC suite
BRACE Trial (Murdoch Children's Research Institute)
An international randomised trial testing whether the BCG vaccine could protect healthcare workers during COVID-19, run across several countries with thousands of participants. It was a hybrid design: vaccination and blood collection happened in person, and WeGuide supported the participant facing side of the study between those site contacts.
GenV (Generation Victoria)
A whole of state longitudinal birth cohort in Victoria, Australia, covering roughly 124,000 people: about 50,000 children and 74,000 parents. Keeping families involved over many years takes a branded app they keep on their phones, push notifications and multi modal data capture. That's cohort territory, not eCRF territory. The platform has to hold up as children grow, parents change phones and the study adds new waves of data collection.
FSHD Global
A longitudinal patient registry for facioscapulohumeral muscular dystrophy, combining patient reported outcomes with wearable integration. Participants report from home on their own phones, devices sync in the background, and the registry keeps a continuous picture of a rare disease over time instead of a snapshot at each clinic visit.
Questions
Straight answers on how WeGuide compares to Viedoc, what running both looks like, and when staying on Viedoc is the right call.
Contact usIs WeGuide a replacement for Viedoc EDC?
Not one for one. Viedoc is an EDC suite with randomisation, trial supply, coding and eTMF. WeGuide is a participant platform: whitelabel apps, eConsent, eCOA, wearables, engagement and telehealth, with a Medical Form Builder that covers many data capture needs. If you need a full EDC with randomisation and supply, keep Viedoc or another EDC and connect WeGuide to it.
Does Viedoc have a mobile app for participants?
Viedoc Me is a web based application that works in the browser on the participant's own computer, tablet or phone, so no download is needed. We found no Viedoc app in the Apple App Store. WeGuide takes a different approach with native iOS and Android apps branded under your organisation, published under your own App Store account or as the existing WeGuide app, with push notifications and native wearable sync.
Can Viedoc collect wearable data?
Viedoc says its open API lets you connect wearables and IoT health devices alongside ePRO data. That typically means an integration project. WeGuide has native Garmin, Apple Health, Health Connect and Fitbit Air integrations, so participants connect their device in the app and data syncs automatically. On supported Garmin models, WeGuide also collects raw accelerometer and gyroscope data at 25 Hz through the Garmin Health SDK.
Can WeGuide integrate with Viedoc?
Viedoc offers open APIs and CDISC compliant formats, and WeGuide's Integration Engine supports REST API, webhooks and HL7 / FHIR. There's no prebuilt Viedoc connector today, so we scope the data flow with you in discovery and configure it during onboarding.
How does pricing compare?
Neither vendor publishes prices. Viedoc licenses per study by module, with unlimited users and hosting and support included, and offers academic and nonprofit pricing. WeGuide is project based and quoted per study, with hosting, support and modules included. You'll get a clear quote after the discovery call.
How long does it take to launch on WeGuide?
After a discovery call, our team configures the study alongside yours, typically in two to four weeks. Then the whitelabel app goes live and you get a named delivery contact for the life of the study. If a Viedoc integration is part of the plan, it's built in the same configuration window, so your data managers see participant data in their existing workflows from launch rather than after a second project.
