Cloudbyz alternatives for teams that need the participant experience to come first

Cloudbyz runs trial operations on Salesforce: CTMS, EDC, eTMF, budgets, supply and safety in one suite. If what you really need is a branded app participants will open every day, with eConsent, validated eCOA and native wearable data, that's what WeGuide was built for. It connects to Salesforce rather than living inside it, so it can sit alongside Cloudbyz or stand on its own.

No pressure, no hard sell. A short walkthrough with a research colleague who's built platforms like yours.

Why research teams look for a Cloudbyz alternative

The short version

Cloudbyz was launched to reinvent enterprise applications in the cloud for specific industries, and in clinical research it did that on Salesforce. The result is one of the broadest suites in the mid market: study planning, site management, monitoring, eTMF, EDC, trial finance, randomisation, safety and recruitment, all on one data model.

Why teams look elsewhere

Teams usually start looking at alternatives for one of three reasons.

They want a different CTMS or EDC. Cloudbyz competes head to head with Veeva, Medidata, Advarra and others on trial operations. If you're comparing like for like back office systems, the honest comparison is between those vendors, and we cover them below.

They don't run Salesforce, or don't want to. Cloudbyz is natively built on Salesforce and sold as a Salesforce ISV through AppExchange. For organisations already on Salesforce, that's a genuine advantage. For a research team that has never touched Salesforce, it brings a platform, licensing model and administration skill set along with the clinical software.

The participant side matters more than the back office. This is where the Cloudbyz conversation most often turns into a WeGuide conversation. Cloudbyz does offer eConsent, ePRO and a participant portal, built around its operational suite. But when a study depends on participants staying engaged for months or years, through a branded app on their own phone, push reminders, education content, wearable data from a Garmin or Apple Watch, and televisits, the participant experience stops being a module and becomes the product.

A quick way to decide. Ask who the system is mainly for. If the main users are clinical operations staff, monitors, finance and regulatory teams, you're buying a trial operations suite, and Cloudbyz belongs on a shortlist with the vendors below. If the main users are participants, consenting, completing questionnaires, syncing a device and staying in touch with the study from home, you're buying a participant platform. Budget shape follows the same line. Cloudbyz licenses per user through AppExchange, which scales with the size of your operations team. WeGuide is priced per project with hosting, support and modules included, which scales with the study rather than with staff seats.

WeGuide is a participant platform, not a CTMS. We don't do site management, eTMF, trial finance, randomisation or safety, and we won't pretend otherwise. If your bottleneck is trial operations, Cloudbyz or one of the CTMS vendors below is the better fit. If your bottleneck is what participants experience between visits, read on.

Key differences between WeGuide and Cloudbyz

Cloudbyz is built to run the trial. WeGuide is built for the people taking part in it. Here's what that means for teams choosing between them, or using both.

A native participant app under your brand

Cloudbyz delivers eConsent, ePRO and a participant portal across devices from its Salesforce based suite. WeGuide ships native iOS and Android apps fully branded under your organisation's name, so consent, questionnaires, reminders, education content and messages all live in one app participants recognise as yours. In long studies, that familiar home is what brings people back week after week, and it keeps your organisation, not a software vendor, at the centre of the relationship.

Wearables and validated eCOA on participants' own phones

WeGuide has native Garmin, Apple Health, Health Connect and Fitbit Air integrations, so passive data syncs once a participant connects a device, whether it is their own or one the sponsor provides. On supported Garmin models it also collects raw accelerometer and gyroscope data at 25 Hz through the Garmin Health SDK. Its eCOA and ePRO include a library of validated instruments. Cloudbyz connects IoT devices and medical grade sensors through APIs, and its template based ePRO supports patient diaries across devices.

Connects to Salesforce instead of living inside it

Cloudbyz runs on Salesforce, which is ideal if your organisation already lives there. WeGuide runs on its own managed cloud and its Integration Engine connects to Salesforce, REDCap (two way sync), HL7 / FHIR systems, REST APIs and webhooks. You get Salesforce in the loop without needing it to run the study, and research teams without Salesforce administrators can still configure their own participant journeys in the no code Program Builder.

Top alternatives to Cloudbyz in 2026

Here's the shortlist of platforms teams compare with Cloudbyz. Most are like for like trial operations suites. One is a participant platform that often runs alongside them. The right answer depends on which part of the study you're solving for.

Where WeGuide goes further

For teams that want the participant side of a study in one platform, here's what changes when you move to WeGuide.

Whitelabel participant apps under your brand

Native Garmin, Apple Health, Health Connect and Fitbit Air

eCOA with a library of validated instruments

Engagement designed for months, not visits

eConsent with re-consent workflows

Telehealth inside the participant app

Patient registries and long term cohorts

No Salesforce licence required

Multilingual participant content

Built for regulated research

Every WeGuide study runs on our managed infrastructure. Your IT team doesn't patch servers, manage backups, or run disaster recovery drills.

TGA Registered

Registered Class I medical device software with the Therapeutic Goods Administration.

ISO 27001

Certified information security management covering access, audit, and incident response.

Data Hosted in Australia

Participant data is hosted in Australian data centres with sovereign data controls.

GDPR Compliant

GDPR, HIPAA, and 21 CFR Part 11 ready for multi-country and US-based studies.

Biometric Security

Participant access protected by PIN code and biometric authentication on device.

256-bit AES Encryption

All data encrypted at rest and in transit with automated backups and disaster recovery.

Where Cloudbyz excels

One vendor across trial operations. CTMS, eTMF, EDC, trial finance, randomisation and trial supply, safety and pharmacovigilance, study start up and project portfolio management all come from the same vendor on the same data model. WeGuide covers none of the back office and doesn't try to.

Native to Salesforce. For organisations already running Salesforce, Cloudbyz inherits its security model, single sign on, reporting and mobile access, and connects natively to other Salesforce applications. That's a real advantage for teams with in house Salesforce skills.

Trial finance depth. Budgets, forecasting, site budgets, reconciliation and payments are built in, which many participant and data capture platforms leave to spreadsheets or a separate system.

Recruitment operations at contact centre scale. Cloudbyz Patient Recruitment embeds Amazon Connect and Twilio, with IVR prescreening, two way SMS, WhatsApp and automated scheduling. For Phase 1 units filling cohorts against fixed dosing schedules, that's purpose built.

Validation and compliance documentation. Cloudbyz lists ISO 27001:2022, ISO 9001:2015, 21 CFR Part 11, HIPAA, GDPR, GCP and GAMP5, and says its validation documents are available to customers at no additional cost.

Easy to try. Licences are sold through Salesforce AppExchange, the listing shows a published starting price per user, and Cloudbyz offers free trial accounts on request.

If your problem is running trial operations end to end, Cloudbyz is a credible choice and WeGuide is not a CTMS. We'll tell you that on the call.

WeGuide works alongside Cloudbyz

‍

If your team already runs Cloudbyz for CTMS, eTMF, finance or EDC, you don't need to change any of it to use WeGuide for the participant facing layer. Cloudbyz stays the system of record for trial operations, and WeGuide runs the whitelabel app: eScreening and eConsent, eCOA, wearable data, reminders, messages and televisits. Because Cloudbyz is built on Salesforce, and our Integration Engine supports Salesforce as well as REST APIs and webhooks, the two can exchange enrolment status and participant data. We scope the exact objects and data flows with you during discovery.

A typical split looks like this. Cloudbyz holds the study, sites, monitoring visits, budgets and the trial master file, and recruitment campaigns can stay there too. Once a participant is eligible, they're invited to the WeGuide app for eScreening, eConsent, eCOA, wearable data and televisits, and the agreed enrolment status and data points move back to Salesforce through the Integration Engine. Operations staff keep working in Cloudbyz. Participants only ever see your brand.

If participants in your study only sign consent and complete an occasional diary around site visits, Cloudbyz's own eConsent and ePRO may be enough, and adding WeGuide won't earn its keep. We'd rather say so up front.

How the switch works

For teams adding a participant app alongside Cloudbyz, or choosing a participant platform before they pick a CTMS, here's how onboarding usually plays out.

Discovery Call

A discovery call with our research delivery team. We look at your protocol, your current Cloudbyz or Salesforce setup, and where participants drop out or fall behind. No sales pitch.

Study Configuration

Our team configures the study in WeGuide alongside yours. If Cloudbyz stays in place, we configure the Integration Engine connection to your Salesforce environment at this stage. Typical timeline: two to four weeks.

We Guide

Participant Onboarding

The whitelabel app goes live under your organisation's brand. Coordinators invite participants, and consent flows, eCOA schedules, engagement content and wearable connections are ready from day one. Participant data and enrolment status start flowing to the systems agreed in step two.

Ongoing Support

You get a named delivery contact, not a ticket queue. We stay involved for the life of the study, including any changes to your Cloudbyz or Salesforce stack.

Case studies: studies where the participant layer was the hard part

BRACE Trial (Murdoch Children's Research Institute)

BRACE was an international randomised trial testing whether the BCG vaccine could protect healthcare workers during COVID-19, running across several countries with thousands of participants. It was a hybrid trial, with vaccination and blood collection in person, and WeGuide provided the participant platform for the digital side of the study.

GenV (Generation Victoria)

Generation Victoria (GenV) is a whole of state longitudinal birth cohort in Victoria, Australia, involving roughly 124,000 people: about 50,000 children and 74,000 parents. A study like this lives or dies on whether families stay involved for years, which is participant work rather than trial operations. WeGuide is the platform GenV uses for it.

FSHD Global

FSHD Global runs a longitudinal patient registry for facioscapulohumeral muscular dystrophy on WeGuide, combining patient reported outcomes with wearable integration. Registries like this sit outside a trial lifecycle from start up to close out, which is why a participant platform is the right tool.

"GenV trusted WeGuide to run a multi-year population health study with roughly 124,000 Victorians, about 50,000 children and 74,000 parents. Longitudinal engagement at this scale requires push notifications, multi-modal data capture, and a whitelabel app that families will keep on their phones for years.""

Questions

Straight answers on how WeGuide compares to Cloudbyz, how the two work together, and when Cloudbyz alone is the right call.

Contact us

Is WeGuide a replacement for Cloudbyz CTMS?

No. WeGuide doesn't offer CTMS, eTMF, trial finance, randomisation or safety. It's a participant platform: whitelabel apps, eScreening, eConsent, eCOA, wearables, engagement, telehealth and registries. If you need a replacement CTMS, compare Cloudbyz with Veeva, Medidata, Advarra or Clinion. If you need a better participant experience, WeGuide can run alongside whichever CTMS you choose. Teams sometimes pick the participant platform first, because the participant experience shapes recruitment and retention, then choose the CTMS around it.

We already run Salesforce. Can WeGuide connect to it?

Yes. WeGuide's Integration Engine supports Salesforce, alongside two way REDCap sync, HL7 / FHIR, REST API and webhooks. We agree which records and events move between the two systems during discovery and configure the connection during setup.

Cloudbyz already has eConsent and ePRO. Why add WeGuide?

For many studies you won't need to. Where WeGuide adds value is when participants need a native app under your brand, validated instruments from a library, native Garmin, Apple Health, Health Connect and Fitbit Air data, ongoing engagement and televisits in one place. Those matter most in long, remote or engagement heavy studies and registries. For a short, site based trial with a handful of diary entries, Cloudbyz's built in modules are a reasonable choice and one fewer vendor to manage.

How is WeGuide priced compared with per user licensing?

WeGuide is priced per project, with a quote on request. The price includes hosting, support and the modules your study uses. There's no Salesforce licence to buy and no per seat fee for your research team.

What compliance standards does WeGuide meet?

WeGuide is ISO 27001:2022 certified, HIPAA compliant with a BAA available, GDPR and FDA 21 CFR Part 11 compliant, and TGA registered Class I medical device software, delivered on managed cloud hosting.

How long does it take to launch a study on WeGuide?

After a discovery call, our team configures the study with yours, typically in two to four weeks. You then launch your whitelabel app and keep a named delivery contact for the life of the study.
